Job Description

The Marketing Assistant supports the day-to-day operations of the Marketing Department by providing essential administrative, clerical, and content-related support. They will work closely with designated department managers to keep materials current and organized. Ideal for a detail-oriented individual, this position plays a key role in maintaining the accuracy, consistency, and efficiency of the team’s overall efforts.

Key Responsibilities

  • Perform general clerical tasks for Marketing, such as scanning, labeling, printing, and organizing department materials
  • Create and edit basic printed and digital documents, including fillable forms, schedules, confirmation letters, gift certificates, student email notifications, etc. as needed
  • Organize and track inventory of printed collateral
  • Work with designated vendors on asset reorders
  • Process and file receipts and purchase records for Marketing-related expenses
  • Assist in drafting newsletters and assembling content for email communications
  • Upload and update digital signage content, including Jumbotrons, TVs, and computer displays
  • Upload and update website content, including photos, news items, and general copy
  • Upload and update member app content, including race dates, points, etc.
  • Pick-up/drop-off packages for Marketing from/to Shipping & Receiving.
  • Support events by preparing materials, organizing supplies, and assisting with set up and tear down
  • Performs other related duties as assigned.

Required Skills & Abilities

  • Excellent organizational skills and attention to detail
  • Clear and professional written and verbal communication skills
  • Excellent time management and planning skills
  • Able to work independently organizing, planning and prioritizing workload
  • Basic understanding of office operations and clerical processes, including email communication and document formatting
  • Ability to maintain orderly file systems
  • Tech-savvy and eager to learn new platforms and tools (website content management system, digital signage software, etc.)
  • Positive and flexible attitude with willingness to assist across a variety of tasks
  • Must understand what it means to keep confidential information confidential
  • Experience working on a Mac computer

Experience & Education Needed

  • High school diploma or equivalent required
  • 2 years of experience in a clerical, administrative, or receptionist role
  • Familiarity with basic marketing processes beneficial but not required

General Physical Requirements & Work Environment

  • The worker is subject to inside environmental conditions most of the time. Occasionally work must be performed outdoors that can be in the heat and coolness of desert climate.
  • The worker is occasionally subject to races and sports cars. For periods of time there may be fuel and oil smells and noise levels over 110 db.
  • The worker is required to have visual acuity to operate motor vehicles and have visual acuity to determine the accuracy, neatness, thoroughness of work assigned or to make general observations of facilities or structures.
  • Hearing: Perceiving the nature of sounds at normal speaking levels. Ability to receive detailed information through oral communication and understand its meaning.
  • Lifting: Raising objects of 15 lbs. throughout the days and up to 40 lbs. occasionally from a lower to higher position or moving objects horizontally from position-to-position. This factor is important if it occurs to a considerable degree and requires the substantial use of the upper extremities and back muscles. Occasional lifting overhead is needed.
  • Pulling: Using upper extremities to exert force to draw, drag, haul or tug objects in a sustained motion.
  • Pushing: Using upper extremities to press against something with steady force to thrust forward, downward, or outward.
  • Talking: Expressing or exchanging ideas by means of the spoken word. Those activities in which detailed or important spoken instructions are conveyed to others accurately and clearly.
