Job Description

Spring Mountain Racing provides factory-authorized service, maintenance, race preparation, and technical support for the Prototype Racecars and other high-performance race vehicles. Through expert craftsmanship, technical expertise, and a commitment to safety, we deliver exceptional reliability, performance, and customer service for our members and guests.

Key Responsibilities

  • Serve as the primary service contact for Spring Mountain Racing customers and members, providing professional, responsive communication regarding vehicle service, maintenance, repairs, and race preparation.
  • Receive and document concerns, requested services, vehicle performance issues, and maintenance needs, ensuring technicians receive clear and complete information.
  • Create and maintain accurate work orders in Shop Monkey, including customer concerns, requested work, technician recommendations, parts requirements, labor, approvals, and service notes.
  • Prepare accurate estimates for maintenance, repairs, upgrades, and other requested services, and obtain member approval before authorized work is performed.
  • Work directly with the Shop Foreman to prioritize and coordinate technician workload, vehicle scheduling, repair status, and completion timelines.
  • Coordinate with Shop Technicians, the Parts Department, and Engine Builder to identify repair requirements, confirm parts availability, address additional findings, and keep work progressing efficiently.
  • Review technician findings and recommendations, communicate additional repair needs to members, obtain authorization, and update the work order accordingly.
  • Monitor open work orders throughout the repair process and proactively communicate vehicle status, delays, parts availability, additional recommendations, and anticipated completion dates to members.
  • Maintain awareness of upcoming Race Weekends, member track days, and special events to help prioritize vehicle preparation and ensure scheduled vehicles are race ready.
  • Coordinate pre-event and post-event service needs, preventative maintenance, repairs, and member requests to support vehicle readiness and reliability.
  • Review completed work orders for accuracy and completeness, confirming labor, parts, technician notes, approvals, and supporting documentation are properly recorded before invoicing.
  • Prepare final invoices and clearly communicate completed services, repairs, recommendations, and outstanding maintenance needs to members.
  • Maintain accurate vehicle service histories and member records to support preventative maintenance planning and future service recommendations.
  • Follow up on open estimates, pending approvals, backordered parts, and incomplete repairs to prevent work orders from becoming unnecessarily delayed.
  • Communicate daily priorities, scheduling concerns, member needs, and unresolved service issues with the Racing Manager and Shop Foreman.
  • Build and maintain strong relationships with members by providing consistent communication, follow-through, and a high level of service throughout the ownership and racing experience.
  • Work collaboratively with the Racing Shop team to identify opportunities to improve workflow, communication, turnaround time, and the overall member experience.
  • Maintain confidentiality and professionalism when handling member information, vehicle records, pricing, and internal company information.
  • Support Race Weekends and other Racing Department operations as needed to ensure members and vehicles receive timely service and support.
  • Perform additional duties and responsibilities as assigned by the Racing Manager.

Required Skills & Abilities

  • Demonstrate exceptional customer service while building professional relationships with members, guests, coworkers, vendors, and management.
  • Strong understanding of automotive maintenance, repair procedures, and high-performance vehicle operations.
  • Ability to clearly explain technical repairs, maintenance recommendations, and service needs in a professional and easy-to-understand manner.
  • Proficient in Microsoft Office applications, including Excel, Word, Outlook, and experienced with Shop Monkey, Mitchell, or comparable shop management and estimating software.
  • Strong organizational skills with exceptional attention to detail and the ability to maintain accurate repair orders, estimates, invoices, and service records.
  • Ability to prioritize multiple work orders, manage changing priorities, and perform efficiently in a fast-paced racing environment.
  • Strong mathematical and analytical skills with the ability to prepare accurate estimates, labor calculations, invoices, and customer billing.
  • Demonstrate sound problem-solving, decision-making, and conflict-resolution skills while maintaining professionalism in challenging situations.
  • Ability to communicate effectively and professionally, both verbally and in writing, with members, guests, technicians, vendors, and management.
  • Ability to work collaboratively with the Racing Manager, Shop Foreman, Shop Technicians, Parts Department, and Engine Builder to ensure efficient workflow and exceptional member service.
  • Demonstrate reliability, accountability, initiative, and a commitment to continuous improvement.
  • Ability to support Race Weekends, member events, special events, and overtime assignments as operational needs require.
  • Maintain a professional appearance and conduct consistently with Spring Mountain Racing standards.

Experience & Education Needed

  • High School Diploma, General Education Diploma (GED), or equivalent required.
  • Minimum of two (2) years of professional experience as a Service Advisor, Service Writer, or in a similar customer-facing position within the automotive, motorsports, or high-performance vehicle industry required..
  • Experience working in a dealership, performance shop, racing environment, or automotive service department is required.
  • Strong understanding of automotive maintenance, repair processes, high-performance vehicles, and preventative maintenance practices.
  • Proficiency with Microsoft Office applications, including Excel, Word, Outlook, and experience using Shop Monkey, Mitchell, or comparable shop management and estimating software.
  • Ability to prepare accurate repair orders, estimates, invoices, and service documentation with exceptional attention to detail.
  • Demonstrated ability to build strong relationships with customers and members, technicians, vendors, and coworkers through professional communication and outstanding customer service.
  • Strong organizational, time management, and multitasking skills with the ability to effectively manage multiple work orders, changing priorities, and deadlines in a fast-paced racing environment.
  • Ability to work collaboratively with the Racing Manager, Shop Foreman, Shop Technicians, Parts Department, and Engine Builder to ensure efficient workflow and exceptional member service.
  • Experience supporting Race Weekends, track events, or high-performance motorsports operations is highly desirable.
  • Maintain a valid driver’s license with an acceptable driving record and meet the company’s insurability requirements.
  • Equivalent combinations of education, technical training, certifications, and relevant work experience may be considered.

General Physical Requirements & Work Environment

  • Exerting up to 50 pounds of force occasionally and/or up to 20 pounds of force constantly to move objects. Must be able to lift a minimum of 25 pounds unassisted.
  • Climbing and ascending or descending ladders, stairs, using feel and legs and/or hands and arms. Body agility is emphasized. This factor is important if the amount and kind of climbing required exceeds that required by ordinary locomotion.
