Job Description

The Racing Parts Clerk builds and maintains strong working relationships with technicians, suppliers, and key vendors while promoting operational efficiency, inventory accuracy, workplace safety, and continuous improvement

Key Responsibilities

• Full daily responsibilities are outlined in the supplemental Daily Task List. The following summarizes the primary functions of this position.
• Provide exceptional customer service to members, guests, technicians, vendors, and internal departments by responding professionally to inquiries, resolving concerns, and providing timely updates on parts availability, back orders, and special orders.
• Serve as the primary parts counter representative, assisting technicians with parts requests and ensuring timely fulfillment of daily shop operations.
• Receive, inspect, verify, stock, label, organize, and issue inventory while maintaining accurate inventory records and proper storage locations.
• Fill customer and technician parts requests from inventory or through special-order procurement following established purchasing procedures.
• Monitor and maintain established minimum and maximum inventory levels to ensure adequate availability of parts while minimizing excess inventory.
• Participate in scheduled inventory counts, cycle counts, physical inventories, and inventory reconciliation activities as directed by the Parts Supervisor.
• Receive, inspect, and reconcile incoming freight shipments for accuracy, completeness, and damage, promptly reporting and resolving discrepancies with vendors.
• Process vendor warranty claims, returns, core exchanges, and inventory discrepancies in accordance with company procedures and vendor requirements.
• Assist with inventory forecasting by monitoring inventory usage, scheduled maintenance, race weekends, and upcoming events to maintain proper stock levels.
• Build and maintain professional relationships with suppliers, vendors, technicians, and key accounts to support efficient operations.
• Operate company vehicles, trucks, or other equipment as required to perform assigned duties.
• Maintain a clean, organized, safe, and professional parts department that promotes efficiency and complies with Spring Mountain Racing safety standards.
• Actively participate in department meetings, company training programs, and continuous improvement initiatives.
• Provide parts support during Race Weekends, member events, and special racing activities by ensuring technicians have the necessary parts, supplies, and materials available.
• Communicate effectively with the Parts Supervisor, Racing Manager, Service Advisors, Shop Technicians, Accounting, and other departments to support efficient daily operations.
• Perform additional duties and responsibilities as assigned by the Parts Supervisor or Racing Manager.

• Proficient in Microsoft Word, Excel, Outlook, email, Shop Monkey, and the ability to quickly learn additional inventory management software and company systems.
• Ability to communicate effectively and professionally, both verbally and in writing, with employees, vendors, customers, and management at all levels.
• Working knowledge of automotive parts catalogs, inventory procedures, purchasing processes, pricing guides, and vendor resources, or the ability to quickly learn company-specific systems and procedures.
• Ability to work independently with minimal supervision while demonstrating initiative, sound judgment, flexibility, and adaptability.
• Demonstrate a willingness to learn new products, technologies, inventory procedures, and industry best practices through ongoing training and professional development.
• Maintain a professional appearance and conduct consistently with Spring Mountain Racing standards.
• Maintain composure, professionalism, and sound decision-making while working under pressure or in challenging situations.
• Demonstrate reliability, accountability, dependability, and a strong work ethic by consistently meeting job responsibilities and departmental expectations.
• Ability to maintain a high level of accuracy and attention to detail when processing inventory transactions, ordering parts, and supporting daily shop operations.
• Possess strong problem-solving and critical-thinking skills with the ability to identify practical solutions to customer and operational needs.
• Ability to work collaboratively with the Parts Supervisor, Racing Manager, Service Advisors, Shop Technicians, Engine Builder, Accounting, and other departments to support efficient Racing Shop operations.
• Ability to support Race Weekends, member events, special events, and overtime assignments as operational needs require.
• Maintain a valid driver’s license with an acceptable driving record and meet the company’s insurability requirements.

Experience & Education Needed

• High School Diploma or General Education Diploma (GED) required.
• Minimum of one (1) year of experience in automotive parts sales, high-performance parts, inventory control, shipping and receiving, or a related field preferred.
• Experience working in a high-performance automotive, motor sports, dealership, or racing environment is preferred.
• Working knowledge of automotive parts identification, inventory management, purchasing, vendor relations, and shipping/receiving procedures preferred.
• College coursework, vocational training, or technical education in Automotive Technology, Business, Supply Chain Management, or a related field is preferred.
• Experience using Shop Monkey or similar shop management and inventory software is preferred.
• Equivalent combinations of education, technical training, certifications, and relevant work experience may be considered.

General Physical Requirements & Work Environment

• Exerting up to 50 pounds of force occasionally and/or up to 20 pounds of force constantly to move objects. Must be able to lift a minimum of 25 pounds unassisted.
• Climbing and ascending or descending ladders, stairs, using feel and legs and/or hands and arms. Body agility is emphasized. This factor is important if the amount and kind of climbing required exceeds that required by ordinary locomotion.
• Stooping or bending body downward and forward by bending spine at the waist. This factor is important if it occurs to a considerable degree and requires full use of the lower extremities and back muscles.
• Kneeling or bending legs at knee to come to a rest on knee or knees.
• Crouching or bending the body downward and forward by bending leg and spine.
• Reaching or extending hand(s) and arm(s) in any direction.
• Standing, particularly for sustained periods of time.
• Pushing or using upper extremities to press against something with steady force in order to thrust forward, downward or outward.
• Pulling or using upper extremities to exert force in order to draw, drag, haul or tug objects in a sustained motion.
• Lifting or raising objects from a lower to higher position or moving objects horizontally from position-to-position. This factor is important if it occurs to a considerable degree and requires the substantial use of upper extremities and back muscles.
• Grasping or applying pressure to an object with the fingers or palm.
• Feeling or perceiving attributes of objects, such as size, shape, temperature or texture by touching with skin, particularly that of fingertips.
• Talking or expressing or exchanging ideas by means of the spoken word. Those activities in which they must convey detailed or important spoken instructions to other workers accurately, loudly, or quickly.
• Hearing or perceiving the nature of sounds at normal speaking levels or without correction. Ability to receive detailed information through oral communication and make fine discriminations in sound. Able to use a two-way radio effectively.

• The worker is subject to noise: There is sufficient noise to cause the worker to shout in order to be heard above the ambient noise level. A noise level over 110db can occur during testing, racing and some equipment use.
• The worker is subject to hazards: Includes a variety of physical conditions, such as proximity to moving mechanical parts, moving vehicles, electrical current, exposure to high heat or exposure to chemicals, walking and working on slippery and uneven surfaces.
